CUNY Administrative Coordinator - Human Resources in New York, New York


Guttman Community College is seeking an Administrative Coordinator in the Office of Human Resources to handle day-to-day administrative operations, with a focus on efficiency and time management. Reporting to the Executive Director of Human Resources, this position provides administrative support to the Executive Director, and supports projects, initiatives, and activities that impact all areas of the Human Resources Office, as assigned. The HR Administrative Coordinator will be responsible for streamlining administrative procedures, coordinating office functions, serving as the point person for HR office operations and logistics, and responding to HR inquiries in the absence of the Executive Director.

Specific functions include, but not limited to the following:

  • Maintain the Executive Director’s calendar, manage appointments, and provide administrative support, collaborating with internal and external constituents to collect and report on relevant data and information.

  • Assist the Executive Director, who also serves as the College’s Ethics Officer, in coordinating and maintaining JCOPE Comprehensive Ethics training records, Honoraria, Financial Disclosure Statement (FDS) filing, Outside Employment and other related ethics compliance duties.

  • Provide administrative support to the Executive Director with regard to immigration related matters, including processing of H1-B and permanent residency applications for full-time faculty, serving as liaison with the immigration attorneys, maintaining paperwork, preparing letters and memos, and completing immigration forms as required by the process.

  • Responsible for monitoring inventory of office supplies, purchasing of new supplies and materials, creating requisitions and purchase orders through the CUNYfirst e-procurement system and tracking receipts.

  • Assist the Executive Director in maintaining and coordinating contractual provisions of ECP employee groups, including appointments, separations, title/salary changes, and evaluations.

  • Collaborate with the different areas in the HR office to develop content for the unit strategic plan and work with the HR Operations Coordinator in gathering and assessing HR data and metrics.

  • Assist the Associate Director in maintaining and coordinating contractual provisions of full-time Classified staff employee groups, including appointments, reappointments, contractual salary increments, and evaluations.

  • Coordinate the HR staff meetings, office retreats and events, including room reservations and catering, if applicable; create meeting agendas and take meeting minutes.


Bachelor’s degree required.

Preferred Qualifications:

  • Higher education/public sector human resources experience

  • Proficiency in Microsoft Office suite; advanced computer skills (e.g. CUNYfirst; Microsoft Excel experience)

  • Excellent written and verbal communication skills; organizational and problem-solving skills

  • Evidence of strong interpersonal and customer service skills


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
