POSITION DETAILS

The Administrative Executive Assistant to the Assistant Vice President and Associate Provost for Teaching and Learning at Baruch College functions oversees the day-to-day operations and workflow processes of the Division of Teaching and Learning, which includes responsibility and oversight of activities for five broad areas under the division: undergraduate and graduate curricula; academic assessment; faculty development related to teaching; student academic support units; and the Honors program.

Specific responsibilities include but are not limited to:

  • Compiles and interprets budget data on the Coordinated Undergraduate Education (CUE) program; assures that annual spending matches allotted funding; researches and resolves any discrepancies; and produces annual reports.

  • Collaborates with directors, faculty, and other administrative/executive staff campus-wide to produce the annual Undergraduate and Graduate Bulletins. Ensures that all curriculum and policy changes are documented.

  • Administers college-wide events such as the annual Presidential Excellence Award and the Annual Ethics Award; prepares agendas, takes notes, and writes minutes for college-wide committees led by the Associate Provost

  • On a weekly basis, solicits, compiles, edits, and sends information to more than 1,000 members of the college’s faculty and staff on upcoming events (faculty development workshops, concerts, exhibitions, deadlines etc.)

  • Organizes the Associate Provost’s calendar, makes appointments, schedules meetings, and prepares for special events, such as orientations for new faculty. Maintains a calendar of announcements, reports, and other activities, and produces both weekly and monthly schedules. Assembles, collates, and replies to correspondence.

  • Recruits, interviews, and supervises part-time staff.

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required. Must be a current CUNY employee.

The successful candidate must have the ability to analyze, evaluate and develop logical conclusions; the ability to organize and present ideas and recommendations, and replies effectively in a clear and logical form both orally and in writing; the ability to communicate both orally and in writing with Division staff and others in the campus community for the purpose of obtaining, exchanging, and providing information; and the ability to maintain effective working relationships with others. Ability to handle confidential financial and academic information with demonstrated tact and maturity. Proficiency in Microsoft Office Suite, WordPress, Contribute, Qualtrics, PeopleSoft and Adobe Acrobat strongly preferred.

CUNY TITLE OVERVIEW

Provides support to a Campus or University Executive, organizing and supervising unit activities.

  • Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.

  • Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.

  • Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.

  • Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.

  • Procures required internal and external resources and services and manages their utilization.

  • May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.

  • May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
