POSITION DETAILS

The STEM Institute at The City College of New York focuses on increasing the number of high school students majoring in STEM fields by strengthening student’s preparation in mathematics and science courses, engaging students in STEM related activities such as robotics and entrepreneurship, and providing “on college campus” experiences and mentoring.

The Administrative Specialist will report to the Senior Associate Provost. In addition to the CUNY Title Overview, tasks include but are not limited to:

• Oversee the implementation of the STEM Institute educational programs to increase student preparation to enter STEM majors in college/University.

• Manage the reporting of program progress to executive levels, NYC Department of Education, and funding agencies as well as timeline execution.

• Facilitate collaboration with high school administrators and staff, communication with families and students, and the management of the academic programs to accomplish overall goals.

• Assist with preparing proposals to external funding agencies and donors.

• Support service to students in an academic, robust technology-enhanced teaching and learning environment.

• Supervise a team of an Administrative Assistant, Teaching Assistants, Tutors, and Instructors.

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required.

Preferred Qualifications:

• Master’s degree and two years’ related experience required in Higher Education Administration, Science, Engineering, or Education in Sciences

• Experience and/or training in designing and implementing assessment programs in Higher Education

• Excellent interpersonal and communication skills

• Bilingual (English/Spanish)

• Ability to multi-task and prioritize assignments as well as work within assigned deadlines

• Excellent verbal, written and presentation skills

• Proficient use of computer tools for management and reporting

• Ability to be proactive and work both independently and as part of a large team

• Proficient with MS Office Suite

Provides administrative and program support to an administrative or academic department.

  • Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.

  • Works with appropriate offices related to personnel recruitment, expediting search activities

  • Research coordinates and organizes materials for key events such as promotion and tenure reviews.

  • Supervises and trains support staff and student workers.

  • Manages budget and coordinates purchasing, accounting, and payroll.

  • Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.

  • Performs related duties as assigned.
