The Structural Biology Initiative (SBI) of the ASRC is looking for a motivated, proactive, and creative individual to serve as Associate Director. Working in concert with the Structural Biology Initiative Director, the Associate Director will manage the day-to -day endeavors of the Initiative, including the design and execution of administrative operations, and will establish themselves as the focal point for various personnel matters within the unit. The Associate Director will collaborate on grant proposals; develop and maintain budgets; manage staff; ensure compliance with institutional rules; and act as liaisons to internal and external partners. S/he will also oversee the communications for the Initiative and assume responsibility for the content on and updates to the Initiative websites.

Duties include but are not limited to:

  • Performs major responsibilities under the Director's purview, such as monitoring and evaluating unit activities, financial/budget planning, and ad hoc projects as necessary.

  • In concert with the Initiative Director, ASRC faculty, and affiliated post-doctoral scholars, staff, and students, organizes annual reports, in terms of both content and financial accounting, to funding agencies.

  • Oversees the day-to-day activities of the Administrative Coordinator in the Initiative and conducts his/her performance evaluation.

  • Assists in logistical planning and execution of events, especially research seminars, workshops, and conferences.

  • Organizes meetings of internal and external advisory boards, records and distributes notes accordingly.

  • Assists with the recruitment and onboarding of faculty and staff; prepares job postings, schedules interviews, and requests appointments.

  • Reviews and approves staff timesheets.

  • Advises SBI faculty and students regarding purchasing; prepares and follows up on purchase orders, invoices, payments, reimbursements.

  • Provides general trouble shooting for administrative issues.

  • Works effectively, collaboratively, and cooperatively with diverse stakeholders, constituents, and clients at various levels.

  • Oversees complex, high-priority projects with responsibility for outcomes.

  • Organizes correspondence, accounts, contracts, and billing.

  • Performs other duties as assigned.

QUALIFICATIONS

Bachelor's Degree and six years' relevant experience required.

A preferred candidate should have:

  • Master's Degree in Business Administration or a scientific discipline related to the Structural Biology Initiative.

  • General financial and/or office management experience.

  • Experience in strategic planning and developing new strategies to solve complex problems.

  • Strong computer skills and experience with general ledger and financial systems.

  • A background (or strong interest) in biology or chemistry.

  • Ability to prioritize and meet deadlines in a fast-paced environment.

  • Excellent written and verbal communication, interpersonal, negotiation, and presentation skills.

  • Strong attention to details.

  • Excellent analytical, evaluative, and research skills.

  • Ability to make sound judgements.

  • Experience with administrative operations of a high-level research facility including planning and operations, overseeing staff, and working with faculty and students.

  • Previous experience in academia where research was actively being conducted.

  • Serves as Office Manager, supervising and training staff, managing financial operations and budgets, and coordinating technology, equipment, security, and building maintenance requirements.

  • Represents management in meetings and activities related to department administration.

  • Maintains archives, inventories, or collections of materials or records needed by the department.

  • Works with fund-raising, marketing, technology, and other personnel to provide information and participate in Campus or University-wide initiatives.

  • Collect information for, produce, and distribute department reports covering program, fiscal, and human resources issues

  • Independently carries out unit activities such as approvals, student interactions, and participation in campus- or university-wide committees and projects.
